Deactivate Scroll Versions

If you no longer require a space to have multiple versions and/or variants, or are planning to migrate to Cloud without the versioning and variant functionality, you can deactivate Scroll Versions in that space. This article provides clear instructions on how to deactivate Scroll Versions.

It is recommended to perform these actions in a test environment first and create a XML backup of the space before deleting any versions or variants. Additionally, consider publishing individual versions and variants to an archive space before deletion and review the Content in Version Report to avoid unintended content deletion.

What Happens When You Deactivate Scroll Versions in a Space?

Deactivating Scroll Versions in a space means you will delete all versions and variants in the space, which will result in the following:

  • The space reverts to its original state, without any Scroll Versions related information or UI elements.

  • Deleting versions results in the removal of their associated change pages.

  • The page history and its revisions are lost when you publish within the same space during deactivation.

  • Deleting variants and attributes will result in all Conditional content macros becoming orphaned and requiring manual removal.

  • The remaining pages will reflect the content from Public View, which is made up of master pages

  • A content reindex will be triggered for the impacted pages within the space, but it should not trigger a complete system reindex.

Performance

Deactivating Scroll Versions in a space will not have negative impact on your Confluence system’s performance.

To avoid content loss

To preserve the content of a specific version after deactivating Scroll Versions, you need to publish that version to the same space before deleting the versions in the versions overview. This ensures the desired version's content is retained. If your space has versions and variants, all variants of the published version are saved when publishing within the same space.

If you want to keep various variants of your content

If your space includes versions and variants, you should publish each variant to distinct new spaces to keep the content separated. This approach eliminates the need to clean up any conditional content macros in the new spaces before migrating.

How to Deactivate Scroll Versions in a Space

The deactivation process depends on the number of versions in your space, whether you want to keep content from different versions, and if you use variants in the space. Read the prerequisites below and then follow the steps that match your situation.

Prerequisites

Before proceeding with the deactivation process, read following prerequisites.

As part of Scroll Versions 4.5.0 we decided to hide unrecommended features in spaces where those features have not yet been used. Same space publishing is one of those features. If you are using Scroll Versions 4.5.0 or any later version and have not used the same space publishing feature, follow the steps below.

  1. Navigate to Space tools > Scroll add-ons.

  2. Press the ALT/Option key on your key board to make a menu entry for Advanced Scroll App Settings to appear.

  3. Click on Advanced Scroll App Settings.

  4. Set the dropdown to “Scroll Platform”.

  5. Find the key: enable.unrecommended.feature.publish-to-same

  6. If the value shows false click Edit to edit the setting.

  7. Switch the toggle so it shows a green check mark (tick) and click Save, in the “Modified” column you should now see the status CUSTOM

Now, continue with the deactivation process based on your situation.

Deactivate Scroll Versions with one version

If you have only one version in the space, follow these steps:

  1. Create an XML backup of the space to be safe. See the article Creating a XML Export of a Space for help.

  2. After the backup, go to Space tools > Scroll add-ons > Versions.

  3. Find the action button (•••) for the single version and click on it.

  4. Select Publish and choose Within the same space.
    (tick) Tips: If your space has variants consider publishing each variant to its own new space as well.

  5. Once published, click the action button for that version and select Delete > Delete to deactivate Scroll Versions.

If your space also has variants you still need to remove all attributes and variants before Scroll Versions can be considered deactivated. For instructions on how to remove attributes and variants from a space see: Deactivate Scroll Versions with variants only

Deactivate Scroll Versions with multiple versions

If you have two or more versions in the space, follow these steps:

  1. Create an XML backup of the space to be safe. See the article Creating a XML Export of a Space for help.

  2. After the backup, go to Space tools > Scroll add-ons > Versions. If you have multiple versions, you can merge them into one version to keep.

  3. Click the action button (•••) for the version you want to merge into another, decide which content to keep and select Merge. Read the Merge Versions article for more details.

  4. Repeat the merge procedure for all relevant versions.

  5. Once merged, publish the version containing all merges by clicking the action button (•••) > Publish > Within the same space.

    (tick) Tips: If your space has variants consider publishing each variant to its own new space as well.

  6. Delete each version by clicking the action button (•••) and selecting Delete > Delete, when you delete the last version Scroll Versions will be deactivated in the space.

If your space also has variants you still need to remove all attributes and variants before Scroll Versions can be considered deactivated. For instructions on how to remove attributes and variants from a space see: Deactivate Scroll Versions with variants only

Deactivate Scroll Versions with variants only

If you have one or multiple variants in the space with no space version, follow these steps:

  1. Create an XML backup of the space to be safe. See the article Creating a XML Export of a Space for help.

  2. After the backup, go to Space tools > Scroll add-ons > Attributes:

    1. Click on Options (•••) for an attribute > select Delete, this will remove the attribute.

    2. Repeat this for each attribute.

  3. Navigate to Variants:

    1. Click on Options (•••) for a variant > select Delete, this will remove the variant.

    2. Repeat this for each variant, when you have removed all attributes and variants Scroll Versions will be deactivated in the space.

After removing the last variant and attribute, you need to manually remove any Conditional content macros used in the space.

To find pages which still may have Conditional content macros on them you can use the Confluence search:

  1. Click on Confluence Search window.

  2. Find the “Filter By” section.

  3. Set the “Space” filter to filter for your current space.

  4. In the “Search” field paste macroName:conditionalcontent

  5. Hit enter on your keyboard, the search should now list all pages in your space which still has Conditional content macros on them.
